Remote-first, on-site when it counts
We will be straight about how we operate: GoProIT is a remote-first practice. Somewhere between 90 and 95 percent of the tickets a small business generates — password resets, email problems, software errors, printer queues, slow machines, new-user setup — resolve faster over a secure remote session than they ever would waiting for a van. Same-day remote response is the core of the flat-rate plan. But some problems have a physical component, and pretending otherwise is how remote-only providers leave clients stranded. For those, we coordinate on-site work: scheduled visits, or vetted local partner technicians we dispatch and supervise, working from our diagnosis and documentation.
What genuinely requires hands on hardware
The honest on-site list is shorter than traditional IT firms imply, but it is real:
- Hardware swaps and upgrades — failed drives and power supplies, RAM and SSD upgrades, replacing a dead workstation (though we stage the new machine’s software remotely before it ships).
- Structured cabling — new Cat6 runs, terminating and testing drops, tidying the spaghetti behind the desk cluster that keeps knocking a port loose.
- Network rack work — installing or replacing switches, firewalls, patch panels, and UPS units; physically re-organizing a closet so the next person can tell which cable is which.
- Printer and scanner hardware — rollers, fusers, jam mechanisms. Driver and queue problems are remote; anything involving toner dust is not.
- New office buildouts and moves — Wi-Fi access point placement and mounting, ISP handoff, desk-by-desk setup on move day.
- Physical server issues — a machine that won’t power on cannot be remoted into. (This is also why we put remote-management tools and smart PDUs in place: the next failure often becomes fixable without a visit.)

Why we diagnose remotely before anyone drives
The most expensive sentence in traditional IT support is “I’ll come take a look.” A technician who arrives without a diagnosis discovers the failed part, leaves to order it, and returns next week — two visits, two travel charges, a week of downtime. Our sequence inverts that: remote diagnostics first (SMART data off a dying drive, event logs, power-state checks via the management agent, a photo from whoever is standing next to the machine), then the visit is booked with the part already in hand and a written work order. One visit instead of two is the norm, and a meaningful share of “this needs a site visit” tickets turn out not to — the “dead” PC is a monitor input, the “broken network” is a DHCP setting.
Scheduled visits versus emergency dispatch
On-site work falls into two lanes. Scheduled visits cover the plannable: hardware refreshes, cabling jobs, office moves, quarterly physical checks of the rack and UPS batteries. These are batched deliberately — one visit that swaps two SSDs, mounts an access point, and labels the patch panel costs a fraction of three separate call-outs. Emergency dispatch exists for the rare true outage with a physical cause: the server won’t start and the office is down. Because remote triage has already identified the likely failure, the dispatched technician — ours or a coordinated local partner — arrives with the right replacement rather than a toolbox and optimism. In practice, genuine emergencies needing same-day physical presence happen to a typical small office once or twice a year; good monitoring and spares planning push that number down further.
How to prepare before a visit
Five minutes of preparation keeps a visit short and single:
- Make sure someone with keys and network-closet access is present for the whole window — the classic wasted visit is a locked wiring closet.
- Confirm ISP account details are findable if the job touches the internet handoff.
- Have affected users save work and stay reachable; a two-minute question answered live beats a follow-up ticket.
- Flag anything else physical that has been nagging — the flickering monitor, the dead wall jack — so it rides along on the same visit.
The economics: hybrid support versus all-on-site firms
Traditional local IT firms price around the truck: hourly rates of $100–$175 with one-hour minimums, travel time billed, and an incentive structure where a fifteen-minute fix becomes a billable trip. A password reset handled that way can cost more than a user’s entire month of flat-rate coverage. The hybrid model works because travel is reserved for the small minority of work that needs it: the routine 90–95% resolves remotely inside the flat monthly fee, on-site work is batched and arrives pre-diagnosed, and you are never paying a technician to sit on the interstate. For a 5–40 person office without internal IT, that usually means both faster response on daily issues and a lower, more predictable total than either an hourly local shop or a big MSP’s on-site-heavy contract.

How fast can someone physically be at our office?
Remote response is same-day — usually within the hour — and that is where troubleshooting starts regardless. If triage shows a genuine physical fault, scheduled visits are typically booked within a few business days, and emergency dispatch through our local partner network is arranged same-day or next-day depending on your location and the parts required. We are upfront about this trade-off: a firm with a tech permanently in your building beats us on physical arrival time, and loses on everything else, including price.
Who are the local partner technicians, and can we trust them?
Vetted, insured field technicians we engage per job with a written scope. They work hands-on-hardware only: our team retains remote control of accounts, credentials, and configuration during the visit, so the partner replaces the drive while we handle everything requiring administrative access. You get told in advance who is coming and exactly what they will do.
Is remote access safe? What can you see on our machines?
Sessions run through an encrypted remote-management platform with MFA on our side, per-technician accounts, and full session logging — a materially better audit trail than a stranger at a keyboard in your office. For attended support the user sees the session and can end it; nothing is accessed silently on user workstations outside agreed maintenance windows.
What about setting up computers for new hires?
Almost entirely remote.
