“Storage full” in Gmail is about your whole Google Account, not just your inbox. Gmail, Google Drive and Google Photos draw on one shared allowance, so a phone backing up videos can fill it while your inbox stays small. Google’s Gmail help says that once you reach the limit you can’t send or receive email, and messages sent to you go back to the sender.

Before deleting anything, open one.google.com/storage on a computer and look at the breakdown. It shows how much Gmail, Drive and Photos each use, so you know where cleaning up will help. On a work account, your Google Workspace admin controls the limit.

A few large items, such as big attachments, videos, backups and Trash folders never emptied, usually free more space than thousands of small emails.

Try these first

  1. Open one.google.com/storage to see whether Gmail, Drive or Photos is using the space.
  2. In Gmail, empty Trash and Spam; both count until they’re emptied.
  3. Search Gmail for has:attachment larger:10M and delete what you don’t need.
  4. In Google Drive, click Storage on the left to list your files largest first.
  5. Empty the trash in Drive and Google Photos as well.
  6. Work account? Ask your Google Workspace admin, who sets your storage limit.

How much storage you have and what stops when it’s full

Each Google Account includes up to 15 GB, shared across Gmail, Google Drive and Google Photos. As of October 2026, Google says accounts created on or after March 9, 2026 start with 5 GB until a valid phone number is verified, which unlocks the other 10 GB. If a newer account says it’s full at 5 GB, verify a phone number before paying for anything.

Everything in Gmail counts, including Spam and Trash, along with files in Drive and photos or videos backed up to Google Photos. When the total goes over the limit:

ServiceWhat happens when you’re over
GmailYou can’t send or receive email. Gmail tells sending servers your inbox is out of space; many retry for a while, then bounce the message to the sender
Google Drive, Docs, Sheets and SlidesYou can’t upload new files or create new Docs, Sheets, Slides, Drawings or Forms files, and nobody, including people you’ve shared them with, can edit or copy your affected files until you free space
Google PhotosNew photos and videos stop backing up
Two years or more over the limitGoogle may remove your content in Gmail, Drive and Photos; it says it will contact you at least 3 months before content becomes eligible for deletion

Your existing mail isn’t wiped the moment you go over, but anything that bounced in the meantime won’t arrive on its own once you free space; ask important senders to resend. Our guide to Gmail not receiving emails lists the bounce codes senders see when your mailbox is full.

Find what’s actually using the space

First, check the warning is real. Fake “storage full, your photos will be deleted” emails and texts are a common scam that leads to a fake payment or sign-in page. Don’t use its link; type one.google.com/storage into your browser instead.

The storage manager in Google One shows the biggest items across all three services in one place:

  1. On a computer, go to Google One and click Storage.
  2. Under Get your space back, click Free up account storage.
  3. Choose a category under Clean up suggested items, or a service under Clean up by service.
  4. Select the items, click Delete, read the consent wording, tick the box and click Permanently delete. For Photos, both buttons say Move to trash instead, so empty the Photos trash afterwards.

On a phone, the Google One app has the same tool: tap Storage, then Free up account storage.

Before you delete: for Gmail and Drive items this is permanent and can’t be undone. Download anything you might need first, for example with Google Takeout. If the files are business records, read our guide to business file backup and restore before clearing them out. In Google Photos, deleting a backed-up photo or video also deletes it from your phone and every device with backup on, while the app’s Free up space on this device option only removes phone copies, so it doesn’t reduce your Google storage.

Then go where the breakdown points:

Biggest sliceUsual causeWhere to clean up
GmailLarge attachments, years of newsletters, Trash and SpamThe Gmail searches in the next section, then empty Trash
Google DriveVideos, ZIP files, old project folders, files sitting in Drive’s trashClick Storage on the left in Drive to sort files largest first, delete, then empty Drive’s trash
Google PhotosVideos and photos backed up in Original qualityOn a computer, open photos.google.com/settings and click Manage storage. Under Recover storage, Convert existing photos & videos to Storage saver shrinks what’s stored (photos over 16 MP to 16 MP, video above 1080p to 1080p), so download originals you want at full quality first. Then delete large videos and empty the Photos trash
Backups and other dataAndroid phone backups, WhatsApp backups on Android, hidden app dataThe Backups area at one.google.com/storage/management; hidden app data under Manage apps in Drive settings

Clear Gmail quickly with search operators

Type one of these into Gmail’s search box on a computer, check the results, then delete:

Search forWhat it finds
has:attachment larger:10MMessages with attachments that are over 10 MB
has:attachment older_than:2yAttachments more than two years old
filename:pdf larger:5MLarge PDFs, such as scanned statements
category:promotions older_than:1yPromotional mail more than a year old
in:anywhere larger:10MLarge messages anywhere, including Spam and Trash

To delete everything a search returns, tick the Select box above the list. Gmail then shows how many conversations are selected on the page, with a link to select every matching conversation. Click it, then click Delete.

Deleted mail sits in Trash for 30 days and keeps counting until it’s gone. Open Trash and click Empty Trash now in the notice at the top, and clear Spam the same way. Archiving doesn’t help: archived mail stays in All Mail and takes up the same space.

There’s only one copy of each message, so deleting it on the web also removes it from your phone and any mail app synced with Gmail. Google says to allow up to 48 to 72 hours for the storage figure to update after deleting a lot at once.

Still full after deleting, or barely using Gmail?

When Google storage is still full after deleting, or Gmail storage is full but you’re not using it much, it usually means the space is somewhere else in the account, or the figure hasn’t caught up yet. Work through these in order:

  • A different storage warning. An iPhone’s iCloud storage warning is about Apple’s storage, and a low-storage warning about the phone itself means the device; clearing Gmail fixes neither. If Gmail has simply stopped updating on the phone, see Gmail not working on iPhone.
  • Trash in Drive and Photos. Each service has its own trash, and deleted files keep counting until it’s emptied.
  • Phone backups. Google counts everything managed by Android’s backup settings, such as texts, call history, device settings and app data, plus WhatsApp backups on Android. A phone’s backup (apart from photos and videos) is erased after 57 days without use, so look at phones still in use. WhatsApp backups with videos are often the big one: in WhatsApp, go to Settings > Chats > Chat backup, turn off Include videos and back up again, or the videos return with the next backup.
  • Drive for desktop. Folders a computer syncs to Drive count toward your storage, even if nobody opens them in a browser.
  • Hidden app data. Apps connected to Drive can store data that doesn’t appear in your file list. In Drive settings, open Manage apps and choose Options > Delete hidden app data for apps you no longer use. Just disconnecting an app may leave its data behind.
  • A shared family plan. On a Google One family plan, members can use any amount of the shared space, so one person’s phone backups can fill it for everyone.
  • A plan on the wrong account. If you pay for Google One but your account still shows the free amount, check whether the plan was bought while signed in to a different Google Account.

Some deletions free nothing. Photos and videos backed up in Storage saver (formerly High quality) or Express quality before June 1, 2021 don’t count, and neither do Docs, Sheets and Slides files last edited before that date.

If the figure hasn’t moved three days after a big cleanup, the space is somewhere you haven’t looked; go back to the breakdown rather than deleting more mail.

Rather have a technician sort it out?

If your mail is bouncing because storage is full, a technician can connect remotely with your approval, find what’s using the space and clear it safely with you, or check your Google Workspace storage settings. A GoProIT technician can connect remotely, with your permission, and fix it while you watch. $59 per fix, Mon–Fri 8am–8pm ET.

Google Workspace accounts: pooled storage and admin checks

On a work account, your admin controls your quota. Without a per-user limit you’re limited only by the organization’s shared pool; an admin-set or license limit applies even when the pool still has room. As of October 2026, Google lists these amounts for the common business editions:

EditionStorage
Business Starter30 GB per user
Business Standard2 TB per user
Business Plus5 TB per user
Enterprise Standard and Enterprise Plus5 TB per user
Frontline Starter, Standard and Plus5 GB per user

Most editions pool it: the organization gets the per-user amount multiplied by its users, and one person can use more than their share unless the admin sets limits. Google grants only part of a new subscription’s storage at purchase and the rest once a minimum amount has been paid on the subscription, which can take up to 72 hours to apply, so a brand-new account can look smaller than expected.

What full means on Workspace

  • One user over a limit set by the admin or their license: Gmail sending and receiving is affected, and Drive uploads and Photos backups stop. They can still sign in and download files.
  • The whole organization over its pool: people can still sign in and send and receive email, but Photos backups stop. Once the organization is 25% over, or over for 14 days, whichever comes first, nobody can add files to Drive, create new Docs, Sheets, Slides, Drawings or Forms, or record Meet meetings.

Admin steps

  1. In the Google Admin console, go to Menu > Storage (needs the Storage administrator privilege). The top shows total use against your limit; point to the services to split it by Drive, Photos and Gmail.
  2. Check Users using the most storage and Shared drives using the most storage, or click View all users for a ranked list. This page can lag by up to 24 hours.
  3. To stop one account or shared drive from draining the pool, click Manage under Storage settings and set a User storage limit for an organizational unit or group, or a shared drive storage limit on editions that offer it. Gmail can take up to 24 hours to apply a new limit.
  4. If the pool is simply too small, each added license grows it, and a higher edition raises the per-user amount (Business Starter’s 30 GB to Business Standard’s 2 TB, for example). Google lists extra storage on reasonable request, at its discretion, only for Enterprise Standard and Enterprise Plus customers with five or more users.

Reading the Admin console storage reports and setting storage limits for each team is part of our Google Workspace management.

Keep it from filling up again

  • Share large files as Drive links. A file you attach stays in your Sent mail, so the same file can end up stored several times. A Drive link stores it once. For size limits and blocked file types, see why Gmail won’t send attachments.
  • Check Photos backup quality. Original quality uses the most space. Storage saver takes less, at slightly lower quality; pick what suits each person’s phone.
  • Look once a month. A glance at one.google.com/storage catches a growing backup before mail bounces.
  • Don’t run a business on personal accounts. If several people share personal Gmail accounts, and their passwords, for work, Google Workspace gives each person their own sign-in, plus pooled storage and admin controls that make storage easier to manage.

When to stop and get help

  • Business mail is bouncing and you can’t free enough space quickly. Buying more storage is the fastest way to start receiving again, though Google says new storage can take up to 24 hours to appear.
  • You have to keep emails or files for tax, legal or HR reasons. Don’t mass-delete; export and archive them properly first.
  • Storage jumped suddenly and you don’t recognize the files, or you got a Google security alert about an unusual number of emails being sent. Treat it as a possible account compromise and read signs your business has been hacked.
  • A Workspace organization is close to 25% over its pool, or has been over for nearly 14 days, and people are about to lose the ability to save files.

If you’d rather hand it off, finding what’s using the space and clearing it while you decide what goes is a typical $59 remote fix. Google bills any extra storage you buy. You approve the session and can end it at any time.

Common questions

Can I get more free storage in Gmail?

Google’s free allowance is up to 15 GB per account, shared by Gmail, Drive and Photos. As of October 2026, accounts created on or after March 9, 2026 start with 5 GB until a valid phone number is verified, which unlocks the other 10 GB, so do that first if it applies to you. Beyond that, the choices are cleaning up, buying a Google One plan, or, for a business, a Google Workspace edition with pooled storage.

Will buying Google One storage fix Gmail right away?

Usually soon, but not always instantly. Google says new storage can take up to 24 hours to become available after you buy a plan, and Gmail may still be affected during that window. Messages that bounced while you were full don’t come back on their own, so ask important senders to resend. Some sending servers retry for a while, so a few delayed messages may still arrive.

Do files shared with me in Google Drive count toward my storage?

No. Files in Shared with me, and files other people put in folders they share with you, count against the owner’s storage, not yours. Files you upload to someone else’s shared folder, and copies you make of shared files, count against you. The reverse also applies: files you own still use your storage even when colleagues are the ones editing them, which is why departing staff should transfer ownership of important files first.

How do I free up Gmail storage without losing my old emails?

Download a copy first, then delete. At takeout.google.com, choose Mail; you can export everything or only certain labels, and the mail arrives as MBOX files that desktop apps such as Thunderbird can open. Check that the export opens, keep it on a drive that is itself backed up, then delete those messages from Gmail. On a work account, your admin controls whether you can download data, and mail you must keep for legal reasons belongs in a managed archive.

Will I lose my emails if my Google storage stays full?

Not immediately. While you’re over the limit, new mail bounces and you can’t send, but existing messages stay. Google’s policy is that if an account stays over its limit for two years or more, content in Gmail, Drive and Photos may be removed, and it says it will contact you at least three months before that can happen. Free up space or add storage well before then.

Why does my work Gmail say storage is full when my company has plenty?

Your admin may have set a per-user storage limit for your account, group or department, and hitting it affects your Gmail even if the company pool has room. Your license can also cap you, for example on a Frontline edition. Ask your Google Workspace admin to check your limit in the Admin console’s Storage page, or clear space using the same searches personal accounts use.
