“Gmail not working on iPhone” covers two setups, and the fix depends on which one you use. The Gmail app is Google’s own app; to keep up while it’s closed, it needs iPhone notifications and Background App Refresh. Apple’s Mail app shows Gmail once you add a Google account in Settings; it signs in through Google’s page, reads your mail over IMAP and checks for new messages on a schedule, so it can run behind.

Start by opening mail.google.com in Safari and signing in. If the message you’re waiting for isn’t there either, the iPhone isn’t the problem; follow our guide to Gmail not receiving emails. If it’s there but not on the phone, the cause is the app, an iPhone setting or, for a work account, a company policy.

Try these first

  1. Open mail.google.com in Safari: if new mail is missing there too, it’s not the iPhone; if Gmail won’t load at all, check google.com/appsstatus for an outage.
  2. Swipe down on the inbox to refresh, then update the Gmail app and restart the iPhone.
  3. Turn off Low Power Mode; it turns off email fetch and Background App Refresh.
  4. Gmail app: allow its notifications and turn on Background App Refresh for Gmail.
  5. Apple Mail: change Fetch New Data from Automatically to a timed schedule.
  6. Password errors in Apple Mail: delete the account and add it back with Google sign-in.

To see whether Apple Mail is involved, look for a Gmail or Google account under Settings > Apps > Mail > Mail Accounts (on iOS 17 and earlier, Settings > Mail > Accounts). If you use both apps, fix the one you rely on.

As of October 2026, the Gmail app’s App Store listing requires iOS 18 or later. On an older iPhone that can’t update, use Apple Mail or Gmail in Safari instead.

Fixes for the Gmail app

1. Refresh and update

In the inbox, swipe down from the top to refresh. If nothing new arrives, update Gmail in the App Store and restart the iPhone. Open any website in Safari to confirm the connection works.

2. Let it refresh in the background

Go to Settings > General > Background App Refresh. If the top setting is Off, no app refreshes while closed; if it’s Wi-Fi, nothing refreshes on cellular. Then turn on the switch for Gmail.

Low Power Mode turns off Background App Refresh and email fetch; turn it off under Settings > Battery (on iPhone 15 and later, Battery > Power Mode).

3. Check both layers of notifications

  • iPhone: under Settings > Notifications > Gmail, turn on Allow Notifications, and check that a Focus isn’t silencing Gmail. If you use Scheduled Summary, set Notification Delivery on the same screen to Immediate Delivery, or Gmail alerts wait for the next summary.
  • Gmail: tap Menu > Settings, then under Notifications tap Email notifications and choose a level. By default you’re only notified about mail in Primary, so messages sorted into Promotions or Updates arrive silently. With several accounts in the app, set this for each one.

4. “Account not synced” or older mail missing

If the Gmail app on your iPhone says “Account not synced”, work through steps 1 and 2, then check your Google storage: when it’s full, nothing sends or arrives on any device; see Gmail storage full. If the error stays, remove and re-add the account (step 5).

If only older mail is missing, tap Menu > Settings, then under General tap Data usage > Sync settings and raise the number of days of mail the app syncs.

5. Remove the account and add it back

Tap your profile picture by the search bar, tap Manage accounts on this device, then Remove from this device next to the account and confirm with Remove. Add it again with Add another account > Google. Your mail stays in Gmail; only the phone’s copy goes.

6. Messages stuck in the Outbox

A message the Gmail app couldn’t send waits in its Outbox, usually because of a weak connection. On a personal account, attachments over 25 MB in total go out as a Google Drive link. If you see Couldn’t send message because files didn’t upload to Drive, remove the attachment, add it again and resend; see Gmail not sending attachments.

Fixes for Apple Mail with a Gmail account

1. Make sure Mail is switched on for the account

Go to Settings > Apps > Mail > Mail Accounts, tap the Gmail account and check that Mail is on. When it’s off, that account’s mail stops appearing.

2. Fix the fetch schedule

Gmail not updating in the iPhone Mail app usually comes down to this setting. Apple Mail only pushes new mail instantly for accounts that support Push; Gmail accounts normally offer just Fetch and Manual. Go to Settings > Apps > Mail > Mail Accounts > Fetch New Data, tap the Gmail account and make sure it’s set to Fetch, not Manual, which checks only when you open Mail.

Then look at the schedule under Fetch. Apple says the default, Automatically, downloads new data only while the iPhone is charging and connected to Wi-Fi, so mail can look hours behind during the day. Choose a timed schedule instead.

3. The mail arrived but you can’t see it

Apple Mail can sort messages into Primary, Transactions, Updates and Promotions, so a new email may be waiting in a category you’re not viewing. Swipe left on the categories at the top of the inbox to open All Mail, or tap the More button at the top and choose List View to turn categories off.

With categories on (iOS 18.2 and later), the Home Screen badge counts only unread Primary mail by default. To count everything, go to Settings > Apps > Mail > Notifications > Customize Notifications and, under Badge Count, choose All Unread Messages. For alerts, turn on Allow Notifications on the Notifications screen, and in Customize Notifications give the Gmail account Alerts.

4. “Cannot Get Mail”, “Incorrect Password” or repeated sign-in prompts

If iPhone Mail says your Gmail password is incorrect, the password itself is rarely the problem. Gmail no longer works with apps that ask for your Google username and password directly, so retyping a password in the account’s settings won’t fix it. If Mail says it cannot get mail or the password is incorrect, often right after you change your password or turn on 2-Step Verification, re-create the account:

  1. Go to Settings > Apps > Mail > Mail Accounts, tap the account and tap Delete Account or Sign Out. This removes the account’s mail, contacts and calendars from this iPhone only; they stay in your Google Account.
  2. Tap Add Account, enter your Gmail address (or choose Google if a provider list appears) and sign in on Google’s page, approving any 2-Step Verification prompt.

Apple Mail doesn’t need an app password when you add the account this way; those are for printers, scanners and older apps without Google sign-in, covered in Gmail app passwords and SMTP settings.

5. Mail won’t send

Apple Mail keeps anything it couldn’t send in the Outbox in your mailbox list; no Outbox means the message went. Open the stuck message, check the address and tap Send. If Mail asks for a password, re-create the account as in step 4.

Rather have a technician sort it out?

If Gmail still won’t behave on your iPhone, a technician can connect to your computer with your approval, check your Google account and, on a work account you administer, your Google Workspace settings, then walk you through the iPhone steps while you hold the phone. A GoProIT technician can connect remotely, with your permission, and fix it while you watch. $59 per fix, Mon–Fri 8am–8pm ET.

Google sign-in blocks and security alerts

  • Security alerts. Adding Gmail to an iPhone is a sign-in on a new device, so Google may send a security alert. If it was you, select Yes. If you don’t recognize the activity, select No, secure account and follow Google’s steps, which may include changing your password; mail apps may then ask you to sign in again.
  • Check the iPhone is recognized. In your Google Account, open Security & sign-in and, under Your devices, select Manage all devices. Sign out of devices you no longer own, and remove old mail apps you no longer use from your Google Account’s linked apps page.
  • “Too many simultaneous connections.” Google allows Gmail in up to 15 email clients per account at a time. Old phones, iPads and computers still signed in count, so sign out of the ones you don’t use.

If you find devices you don’t recognize, or sent mail you didn’t write, secure the account before fixing the phone; our checklist of signs your business has been hacked covers what to look at next.

For Google Workspace admins

When mail works on the web but not on a user’s iPhone, or several phones stopped at once, check the Admin console before touching the phones.

  • IMAP access. In the Admin console, under Menu > Apps > Google Workspace > Gmail > End User Access, the POP and IMAP access setting controls Apple Mail. If Enable IMAP access for all users is off for the user’s organizational unit, Apple Mail is blocked for that Google Workspace user: sign-ins fail and people have to use the Gmail app. Restrict which mail clients users can use (OAuth mail clients only) allows only the OAuth client IDs you list. Changes can take up to 24 hours.
  • App access controls. Under Menu > Security > Access and data control > API controls, a setting such as Don’t allow users to access any third-party apps can stop sign-ins from apps you haven’t configured, and users are told the app is blocked. Review the app in Manage App Access.
  • Password-only setups. Google Workspace accounts stopped accepting password-only (“less secure app”) sign-in on May 1, 2025, the date in Google’s latest announcement, so IMAP, CalDAV and CardDAV accounts added with just a password stopped syncing. Remove and re-add them with Sign in with Google, and re-push any password-based account your mobile management installed so it uses OAuth.
  • Mobile management. Basic management is on by default. Advanced management (as of October 2026, Business Plus, Enterprise and similar editions, not Business Starter or Standard) needs an Apple push certificate renewed every year, and users may be asked to install a configuration profile. With advanced management, if Require admin approval is on (Devices > Mobile & endpoints > Settings > Universal > Security > Device approvals), a new iPhone shows a message that an admin needs to review and approve it first.
  • Auto push configuration. With advanced management, the iOS Account Configurations setting can install users’ Workspace mail, calendars and contacts in Apple’s apps for them; it uses OAuth and keeps working. Turning IMAP off stops the mail, but calendars and contacts keep syncing.

Deciding which phones and apps can reach company mail, and setting it once for the whole domain, is part of our Google Workspace management.

When to stop and get help

  • The missing messages aren’t in Gmail on the web either, so the problem is the account or the sender, not the phone.
  • You’re getting security alerts you didn’t cause, or you see devices or sent mail you don’t recognize.
  • Several iPhones in the office stopped at the same time, which points to a Workspace policy or device-approval change rather than the phones.
  • The iPhone has a company management profile and the account can’t be deleted. Don’t remove the profile yourself; ask whoever manages your Google Workspace.
  • An older iPhone can’t run the current Gmail app and Apple Mail keeps failing even after re-adding the account.

If you’d rather not do this yourself, one phone or account that won’t sync is a typical $59 remote fix: with your approval, a technician connects to your computer, checks the Google account side and talks you through the iPhone steps, and you can end the session at any time.

Common questions

Is it better to use the Gmail app or Apple Mail on iPhone?

Both work with personal Gmail and Google Workspace. The Gmail app gets new-mail alerts from Google and supports Gmail features like labels, tabs and high-priority notifications. Apple Mail suits people who want several accounts in one inbox, but Gmail accounts there usually fetch on a schedule rather than arriving instantly. If your company turns off IMAP access, only the Gmail app will work.

Do I need to turn on IMAP in Gmail to use my iPhone?

Not for a personal Gmail account. Google says IMAP access is always on, and since January 2025 the options to enable or disable it no longer appear in Gmail’s settings. For a Google Workspace account, your admin decides whether IMAP is allowed. If it’s turned off for you, Apple Mail can’t sign in, and Google’s advice is to use the Gmail app instead.

Will removing my Gmail account from my iPhone delete my emails?

No. Your mail is stored in your Google Account, so removing the account from Apple Mail or the Gmail app only deletes the copy on that iPhone. Apple notes that removing an account doesn’t close it. If the same account also syncs contacts or calendars to the phone, those disappear from the iPhone too, then return when you add the account back.

Why did Gmail stop working on my iPhone after I changed my Google password?

Changing or resetting your Google password signs you out on most devices, so the Gmail app and Apple Mail lose their saved sign-in. In the Gmail app, sign in again when prompted. In Apple Mail, if no Google sign-in screen appears, delete the account in Settings and add it back. Devices you’ve used to confirm sign-ins usually stay signed in, so keep one handy for 2-Step Verification prompts.

Why does Gmail work on Wi-Fi but not on cellular data?

Check Settings > Cellular and make sure cellular data is allowed for Gmail, or for Mail if you use Apple Mail. Then look at Settings > General > Background App Refresh: if it’s set to Wi-Fi, apps only refresh in the background on Wi-Fi. For Apple Mail, a fetch schedule left on Automatically also waits for Wi-Fi and charging before downloading.

Why isn’t Gmail working on my new iPhone?

Accounts carried over to a new iPhone often need you to sign in again. Open the Gmail app and follow any sign-in prompts, and check Settings > Apps > Mail > Mail Accounts for an account asking for attention. Keep your old phone handy for 2-Step Verification prompts. On a work account, your company may need to approve the new device before it can sync.

Why does the Gmail app keep crashing or not open on my iPhone?

Close Gmail in the app switcher, reopen it, install any App Store update and restart the phone. If it still crashes or sticks on the loading screen, check Settings > General > iPhone Storage and free space if the phone is nearly full. Then tap Gmail on that screen, choose Delete App and reinstall it. Your mail, labels and drafts stay in your Google Account, but a message still stuck in the Outbox may be lost, so copy its text first.
